How to Enter an Event

Naming Convention

  • Association/Client Abbreviation – Year Event Name

Properties Pane (Left)

Event Pipeline

  • Prospective Event (Previously attended event, but no formal request to register has been made)
  • No Go
  • Requested (PM has requested registration)
  • Registered (Marketing has completed registration process)
  • Planning (Begins when Marketing has kick-off meeting with PM)
  • Completed (The event has ended, deals have been entered in Hubspot, and debrief completed/entered into Hubspot)

B&W Marketing Contact

  • will be the person responsible on the Marketing side of things, registering, gathering supplies, etc) (most likely Jamie Pencek)

B&W Event Lead

  • the person responsible on the technical side of things, who is going, what they want at the booth, etc

Classification

  • Advertisements
  • Association Meetings (awards luncheons, holiday parties, etc)
  • Campus Event (Recruiting, Career Fair)
  • Client Event (Social Event, ex. Boat Cruise)
  • Conference
  • Membership (Corporate Memberships)
  • Golf
  • Presenter (any speaking engagement)
  • Sponsorship (Client Sponsorships – fireworks, festival, etc, may be political)

Overview/Activities Pane (Middle)

  • This is where you add notes, create tasks, log emails/meetings
  • The notes field will be used to track info about the event. Involved parties can communicate vack and forth using the tagging feature.*
  • Log any emails pertaining to the event
  • See activity that has been going on

Associations Pane (Right)

Contact Labels

  • Attendee
  • Speaker
  • Exhibit Booth
  • Organizer (from association running the event)

Companies

  • The association running the event

Attachments

  • Upload any relevant files here (check request, filled out registration PDF, artwork, etc)
  • Attendee Lists

Events

  • Associate any other Events with this Event
    • You’re creating an Event for Advertisement that is part of a Conference
    • You’re creating an Event for a Presentation that is part of a Conference

Deals

  • Following attendance at an Event, log any opportunities as a Deal in Hubspot. Be sure to associate the Hubspot Event in the Deal Record.
